About the Administrator Load Shifting Role The Administrator, Load Shifting, plays a vital role in providing essential administrative and logistical support to the Main Planner and maintenance teams. This position ensures accurate data management, documentation, and coordination to support the maintenance strategy effectively.

By handling these critical administrative functions, the Administrator enables the Main Planner to concentrate on technical strategy and long-term scheduling, acting as the backbone of the Work Management Process.

Key Responsibilities Data & Forecast Support:

• Capture daily machine engine hours and equipment data into Pronto/BBX or relevant CMMS to maintain forecasting accuracy.
• Update equipment history records for all maintenance tasks and monitor work order progress from initiation to completion.

Documentation & Work Packs:

• Prepare and organize comprehensive Work Packs containing Job Safety Analyses (JSAs), Standard Operating Procedures (SOPs), and Safe Work Instructions (SWIs).
• Manage the printing, filing, and distribution of technical drawings, photographs, and vendor manuals, maintaining centralized digital and physical filing systems.

Parts & Materials Administration:

• Assist in obtaining quotes and completing ANSI forms for new spare parts.
• Liaise with Warehouse personnel to monitor delivery status and manage parts returned from the field, ensuring timely stock reallocation.

Backlog & Schedule Coordination:

• Oversee the work order backlog by identifying aged orders for review, coordinate weekly planning meetings, and assist in releasing approved work orders promptly.

Reporting & KPIs:

• Compile data for weekly and monthly reports, ensuring compliance with the Work Management Process and timelines.

Continuous Improvement:

• Support updates to technical procedures and work instructions, and track variances between actual and estimated work to improve planning accuracy.
• Candidate Requirements for Administrator Load Shifting Jobs in Solwezi Proficient in Microsoft Office applications including Excel, Word, and PowerPoint.
• Exceptional organizational skills with the ability to manage paperwork, digital files, and deadlines efficiently.
• Strong written and verbal communication skills in English, capable of liaising effectively with artisans, warehouse staff, and supervisors.
• Demonstrated professionalism, integrity, and confidentiality in all dealings.
• Analytical aptitude to identify data discrepancies and resolve administrative bottlenecks.
• Ability to work safely within a maintenance environment and support team objectives.
• Minimum two years’ maintenance experience in a mobile machinery environment or equivalent underground or surface mining experience.
• Experience with recognized CMMS systems; familiarity with Pronto is advantageous.
• Ability to interpret and reference maintenance manuals.
• Prior planning experience is highly regarded.
• Valid driver’s license with at least 12 months’ driving experience is desirable.
• Qualifications Grade 12 Certificate.
• Certificate or Diploma in Business Administration, Logistics, or a relevant technical field.
• A background in Heavy Equipment Repair or Automotive Technician is an advantage.
• All qualifications must be certified by the Zambia Qualifications Authority (ZAQA).
