Job Details

Key Responsibilities

  • Maintain the integrity, accuracy and traceability of controlled documents and configuration data.
  • Ensure all customer-facing documentation complies with company standards before release.
  • Control the distribution of technical documentation to prevent the use of obsolete or unauthorised documents.
  • Provide documentation within agreed timelines to support project milestones, customer reviews and audits.
  • Maintain document registers, version control and document traceability.
  • Assist with configuration and change control processes, including tracking, reporting and administration.
  • Prepare documentation for internal and external audits and configuration reviews.
  • Support compliance with quality and configuration management standards, including ISO 9001, AS9100 and related industry requirements.
  • Administer Product Data Management (PDM) systems, including Teamcenter, SharePoint, FileCloud or similar platforms.
  • Manage document reference linking and review technical and non-technical documentation.
  • Act as a central point of contact for document control queries across multiple departments.
  • Support Change Control Board (CCB) meetings by preparing documentation and recording outcomes.
  • Monitor document control compliance and report any non-conformances.
  • Assist with continuous improvement initiatives to enhance document control processes and support digital transformation projects.
 
Minimum Requirements
  • Advanced Certificate or Diploma in Business Administration, Management Assistant or a related technical or administrative qualification.
  • 0–2 years' experience in document control, configuration management or a similar administrative role.
  • Experience within an engineering, manufacturing, aerospace, automotive, defence or other highly regulated environment will be advantageous.
  • Working knowledge of document control principles and configuration management processes.
  • Experience using document management or Product Data Management (PDM) systems such as Teamcenter, SharePoint, FileCloud or similar.
  • Understanding of quality management systems and document compliance requirements.
  • Strong Microsoft Office skills.
  • Excellent attention to detail and organisational skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities while maintaining a high level of accuracy.
Advantageous
  • CMII (Configuration Management II) Certification.
  • Exposure to ISO 9001, ISO 10007, AS9100 or ECSS standards.
