Position Overview – Records Officer Jobs in Lusaka The Records Officer will be responsible for overseeing the Institutional Records Management System, providing expert advice to management, and supervising the Records Staff to ensure efficient execution of their duties.
The role demands a proactive individual capable of managing both paper-based and electronic records while ensuring compliance with relevant legislation. Key Responsibilities Supervise the management of paper and electronic information to enhance creation, access, retrieval, storage, and disposal processes.
Develop and maintain filing systems that satisfy administrative, legal, and financial requirements. Contribute to the development and implementation of records management policies.
Implement retention and disposal schedules aligned with applicable laws and regulations. Coordinate the transfer of archival records to the National Archives of Zambia.
Respond promptly to internal and external information requests. Oversee the receipt and security of incoming mail and records.
Maintain file tracking systems to monitor file locations continuously. Develop individual work plans for Records Staff and monitor their performance.
Prepare regular reports on mail movement, file creation, and disposal activities. Qualifications and Experience Full Grade 12 Certificate or equivalent with at least five (5) credits.
Diploma in Records Management, Library Studies, or Archives Management. Minimum of three (3) years relevant post-qualification experience.
All qualifications must be verified by the Zambia Qualifications Authority (ZAQA). Essential Skills and Attributes Demonstrated ability to maintain confidentiality and exercise discretion.
Strong interpersonal and communication skills, both written and oral in English. Proficiency in computer applications and office equipment operation.
