Key Responsibilities
Property Administration
- Provide full administrative support to the Property Manager
- Maintain accurate tenant and property records
- Prepare property correspondence and documentation
- Coordinate property inspections and maintenance requests
- Assist with monthly property reporting
Leasing Administration
- Prepare lease agreements, renewals and addendums
- Manage lease documentation and filing
- Track lease expiry dates and renewals
- Process tenant onboarding and offboarding
- Liaise with legal teams, brokers and tenants
Credit Control & Debtors
- Manage tenant accounts and debtor collections
- Follow up on outstanding rentals
- Perform banking allocations and reconciliations
- Resolve account queries and payment discrepancies
- Reduce arrears and improve collection performance
Financial Administration
- Assist with billing and invoicing
- Process journals and account adjustments
- Prepare arrears reports and management reports
- Support monthly financial processes
- Maintain accurate financial records
Tenant & Stakeholder Management
- Respond to tenant queries professionally
- Build strong tenant relationships
- Liaise with contractors, suppliers and service providers
- Deliver exceptional customer service at all times
Minimum Requirements
- Grade 12
- Relevant qualification in Property Management, Finance or Business Administration (advantageous)
- Minimum 3–5 years' Property Administration experience
- Previous experience within Retail Property Management
- Strong Leasing Administration experience
- Proven Credit Control and Debtors Management experience
- Experience working on MDA / MRI Property Central
- Excellent Microsoft Excel skills
- Strong administrative and organisational abilities
- Excellent communication and customer service skills
Highly Advantageous
- Experience working for a REIT or Property Investment Company
- Commercial or Retail Property experience
- Property Management systems experience
- Tenant billing and lease administration
- Financial reporting experience
